Rental / Booking Terms and Conditions

1. Introduction

1.1 By accessing or using any services provided by Monarch Management, its appointed partners, agents, or offices (collectively referred to as the “booking services”), you agree to comply with and be bound by the terms and conditions outlined herein. Monarch Management reserves the right to amend these terms at any time, and it is your responsibility to review them periodically.

1.2 Monarch Management may decline to act on any booking instruction at its discretion. Where you are unable to act on your own behalf, you may appoint a representative by submitting a valid power of attorney approved by Monarch Management, along with the necessary identification documentation. Acceptance of such authority remains at Monarch Management’s sole discretion.

1.3 These terms and conditions form the complete agreement between you and Monarch Management in relation to the booking services. Any delay or failure by Monarch Management to enforce any provision or exercise any right shall not constitute a waiver of such rights.

1.4 While every effort is made to ensure that all information provided, whether online or through our offices, is accurate, Monarch Management does not accept responsibility for any inaccuracies or omissions. We reserve the right to amend, update, supplement, or withdraw any information or documentation at any time.

1.5 Monarch Management and/or the property owners shall not be held liable for any accident, injury, death, or loss occurring during occupancy of the premises, regardless of the cause.

2. General

2.1 You acknowledge that properties listed may be owned by independent legal entities separate from Monarch Management. Any additional charges imposed by the property owner will be for your account.

2.2 Monarch Management shall not be liable for any injury, death, loss, damage, delay, inconvenience, or incident experienced by you, your guests, or invitees, irrespective of cause.

2.3 Occupancy limits set for each property must be strictly observed. Should the maximum number of guests be exceeded without authorization, Monarch Management may charge additional fees, impose fines, and/or require all guests to vacate the property immediately without refund.

2.4 Pets are strictly prohibited unless explicitly stated in the property listing and confirmed in writing by Monarch Management.

2.5 Check-in is from 15h00, and check-out is strictly by 10h00 on the departure date unless otherwise approved in writing.

2.6 A late check-in fee of R250 will apply for arrivals after 20h00.

2.7 Upon arrival, guests must inspect the property and report any damages or issues immediately.

2.8 Smoking inside any property is strictly prohibited. Violations may result in fines of up to R5,000 and/or immediate eviction without refund.

2.9 Guests are expected to leave the property in a clean, tidy, and orderly condition.

2.10 Items belonging to the property must not be removed. Guests will be responsible for replacement costs of missing items.

2.11 Guests accept full responsibility for:

  • Damages and loss to property contents
  • Additional cleaning fees
  • Any fines incurred during the stay

2.12 Estate and Body Corporate rules must be strictly adhered to.

Monarch Management reserves the right to refuse or cancel bookings without refund in cases including:

  • Planned parties or events
  • Guests under 22 years without parental supervision
  • Anticipated disturbances or excessive noise
  • Suspected illegal activities

2.13 Any fines or penalties resulting from violations of estate rules or laws will be recoverable from the guest.

2.14 Breach of any terms may result in forfeiture of the full security deposit.

2.15 Any suspected illegal activity may result in forfeiture of the full damage deposit.

2.16 Damage protection must be completed at least 48 hours prior to check-in.

2.16.1 Guests who opt not to complete the damage waiver must pay the full refundable deposit plus a non-refundable R250 service fee.

2.17 Monarch Management may cancel bookings without refund if a guest is on its internal blacklist.

2.18 Guests who remove keys from the property must return them within 24–48 hours.

2.19 Monarch Management and property owners are not liable for interruptions to third-party services such as internet or DSTV.

2.20 Linen and Fabric Damage

  • Guest-caused stains may incur cleaning or replacement costs
  • Replacement costs may apply where items cannot be restored
  • A R350 cleaning fee may apply
  • Guests may not remove items to attempt cleaning themselves

2.21 Guests are responsible for costs associated with blocked plumbing.

2.22 Properties are strictly for short-term self-catering accommodation and may not be used for events or business purposes.

2.23 Leaving the property unsecured may result in fines.

3. Reservation Terms and Conditions

3.1 Bookings made within 30 days of arrival must be paid in full to be confirmed.

3.2 Bookings made more than 30 days in advance require a deposit to secure the booking.

3.3 Changes to confirmed bookings may incur administrative fees or rate adjustments.

3.4 Cancellation Policy

  • Free cancellation up to 61 days prior to check-in
  • 50% charge for cancellations 30–60 days prior
  • 100% charge for cancellations within 30 days
  • Rescheduled bookings within 30 days are non-refundable and subject to a R1,000 fee

3.5 All quotes are subject to availability and price changes until confirmed.

3.6 If a property becomes unavailable, Monarch Management may relocate guests to a comparable property.

3.7 If a booking cannot be honored due to circumstances beyond control, Monarch Management may cancel and issue a refund minus applicable fees.

3.8 Housekeeping services apply only to property cleaning and exclude personal items.

3.9 Guest lists cannot be altered once submitted except to add guests within occupancy limits.

3.10 Quotes issued within 7 days of check-in must be paid in full within 2 hours.

4. Changes to Terms and Conditions

4.1 Monarch Management reserves the right to amend these terms and any applicable fees at its sole discretion without prior notice.

4.2 No representations, warranties, or guarantees not expressly included in these terms shall be binding on Monarch Management or its representatives.
